Budget for four separate items: software, implementation, integrations, and monthly care. Self-service widgets often advertise a low monthly entry price. Custom installations add a setup fee because someone must prepare the knowledge base, design the handoff, connect calendars or a CRM, test failure cases, and monitor real conversations.

What changes the price
The first driver is scope. A bot that answers opening hours is simpler than one that quotes availability, checks service areas, or branches through a legal intake.
The second is integration. Calendar booking is easier than writing into a complicated CRM with duplicate records and custom fields. Hotel availability, manufacturing specifications, and case-management systems add testing.
The third is risk. A bot that may receive health, legal, or financial information needs stricter data rules and narrower answers. Human review and audit logs are operating costs, not optional extras.
Language matters too. Translation is not enough. The knowledge base, error messages, qualification questions, and handoff need review in each language.
Software fee versus installed cost
The software fee keeps a widget online and pays for usage. Installation makes it useful for one business. Setup normally includes:
- collecting and cleaning approved answers;
- defining questions the bot must refuse;
- deciding what counts as a qualified lead;
- connecting booking and notifications;

Then calculate the number of additional booked conversations required to cover the chatbot’s monthly cost. Do not use a vendor’s generic conversion claim. Your close rate and deal value are the only inputs that matter.
For a $390 monthly service, a company with $2,000 gross profit per sale and a 20% close rate needs roughly one additional sale every five months to cover the service fee. That illustration excludes setup, advertising, staff time, refunds, and tool costs. Replace every number with yours.
Questions to ask before signing
Ask where conversation data is stored, whether it trains a shared model, who can export it, and how quickly a conversation can reach a person. Request the exact knowledge sources the bot will use. Test what happens when the answer is missing.
Also ask who maintains the bot. Your prices, policies, and availability will change. An unattended chatbot grows less accurate every month.
When a chatbot is the wrong fix
Do not install one to hide a confusing offer. If visitors cannot understand what the company sells, repair the website first. A chatbot also cannot solve weak traffic. It helps people already arriving at the site.
If most inquiries arrive by phone, a web widget may have little impact. Measure the channel before buying the tool.
