Lead reactivation campaign cost

Old leads are not free inventory. The business already paid to acquire them, but contacting them again creates new costs: database cleanup, consent review, messaging, sending, reply handling, and reporting.

A useful budget starts with the condition of the list. Ten thousand records with missing consent and no source can be worth less than five hundred recent inquiries with clear history.

The direct answer

Reactivation is usually priced as software plus usage, a managed monthly service, or a setup-and-operation package. DATIK’s Reactivation package costs $2,400 with three months included, then $590 per month. The system uses email and SMS only after consent checks and routes replies to a person. Pricing was checked on September 19, 2026.

Third-party sending and messaging costs vary with list size, channel, and volume. They should appear separately from the service fee.

What you are paying for

Database work comes first. Records need a source, date, status, contact channel, and suppression state. Duplicates and previous opt-outs must be removed before anyone drafts a message.

We would rather cut a list in half than pretend every row is usable. A smaller list with a traceable history gives the team something it can defend and actually work.

A person who requested a quote last month should not receive the same message as a closed-lost buyer from three years ago. Useful segments often include recent no-response inquiries, postponed projects, past customers due for another purchase, and opportunities lost for timing rather than fit.

Reply handling is an operating cost. Someone must answer positive replies, recognize complaints, stop future messages, and update the CRM. An automated campaign without reply ownership creates a faster version of the original follow-up problem.

Email and SMS are different compliance jobs

The FTC says CAN-SPAM covers commercial email, including business-to-business email. Messages need accurate headers and subjects, a valid postal address, and an opt-out method. Opt-outs must be honored within 10 business days. Hiring a vendor does not transfer away the sender’s responsibility.

Marketing texts and calls have separate rules under the Telephone Consumer Protection Act and FCC regulations. Whether a particular outreach method requires prior express written consent depends on how the message is sent and other facts. The source and wording of any consent still matter. A phone number in a CRM is not, by itself, permission to send an automated marketing text.

The Eleventh Circuit vacated the FCC’s 2023 one-to-one consent restriction in January 2025. Do not use that vacated restriction as the legal test for a campaign. The ruling did not erase other TCPA requirements, opt-out duties, or state law.

How to estimate campaign size

Start with a small, defensible segment. Count records with a known source, a relevant prior relationship, usable contact data, and no suppression flag. That count is the real addressable list.

Run a pilot before committing the whole database. Track delivered messages, replies, positive replies, booked conversations, opt-outs, complaints, and sales outcomes. Open rates are weak evidence because privacy features can load tracking pixels without a person reading the message.

A budget worksheet

Your total cost is data cleanup + consent review + setup + message usage + reply handling + monthly operation.

Compare that total with gross profit from completed sales, not the value of appointments. A booked call is an intermediate result.

Also count staff time. If the campaign creates fifty replies and no one owns them, the apparent cost per lead will look good while revenue stays flat.

When not to run reactivation

Stop if the business cannot explain where the records came from. Stop if prior opt-outs are missing. Stop if the offer no longer matches what people originally asked about. A purchased list is acquisition, not reactivation.

The campaign is also premature when the sales team cannot answer current leads. Repair the active pipeline before opening an old one.

Sources and review limits

Rules can change and vary by state and channel. Obtain legal review for your specific campaign.

Frequently asked questions

How old is too old for a lead?

Age alone does not decide it. Source, consent, prior conversation, buying cycle, and current relevance matter more.

Should reactivation use email or SMS?

Use only channels supported by the consent record and your legal review. Email and SMS have different rules and user expectations.

What is the primary success metric?

Completed sales and gross profit are the business metrics. Positive replies and booked conversations help diagnose the path to that result.
